University Policy and Regulations

1.Temporary Absence
Students wishing to register as absent from university due to illness or other unavoidable circumstances must obtain permission from a faculty board meeting through the following procedures.
Temporary Absence Registration Procedure
  • Presentation of Request for Leave of Absence (the prescribed university form)
    signed by the student and student’s guarantor
  • Presentation of student ID
  • Payment of temporary absence expenses
1.Deadlines for Presentation of Request of Leave of Absence
  • Request for Leave of Absence of one year or the first semester-by the end of June.
  • Request for Leave of Absence in the second semester- by the end of December.
2.Period of Absence
  • The period of absence is divided into three categories: one year, the first semester, and the second semester. It can be extended by one year or one semester, up to two years. However, an absence of three years may be permitted in special circumstances.
  • The period of absence must not exceed three years in total.
  • The period of absence is not counted into the period of university attendance.
3.Fees of Students Taking Leave of Absence
  • In addition to the required procedures for requesting leave of absence, the student must pay the fees stipulated below for the period until the end of the period of absence.
  • Absence for one year: half of the annual tuition fees
  • Absence for one semester: three quarters of the annual tuition fees plus miscellaneous expenses
4.Status of Student Following Period of Absence
The Academic Affairs Office will consult the student as to his or her status about two months prior to the end of the period of absence.
2.Returning to the University
When the student taking a leave of absence wishes to return to university, he or she should submit a request for returning through the Academic Affairs Office. When permission to return is granted with approval by a faculty board meeting, the student year shall be the same as that prior to the student's leave of absence, regardless of the period of absence.
3.Leaving the University
If a student wishes to leave the university due to illness or other unavoidable circumstances, he or she must obtain permission of a faculty board meeting and follow the procedure outlined below.
Procedure for Leaving University
  • Presentation of Request to Leave University (the prescribed university form)
    signed by the student and student’s guarantor.
  • Returning of student ID.
  • Payment of tuition fees for the semester up to the prescribed leaving date.
Leaving Date
  • The prescribed leaving dates are September 30 for the first semester and March 31 for the second semester.

We strongly believe in maintaining a campus life that respects the rights of all students, faculty, and staff members, and we place the utmost importance on respecting individual liberty. Sexual harassment is conduct that destroys the liberty and rights of the individual and will not be tolerated under any circumstances. In order to maintain an environment in which teaching, extracurricular activities, and study can be undertaken in an atmosphere completely free of sexual discrimination, Aoyama Gakuin will take measures to prevent sexual harassment of any kind, and will also promote efforts to create campuses in which equality and freedom are guaranteed to all.
